Creating standard file names
You can create templates for file names (PDF's) and e-mail attachments created from the Sales module. By this, you increase the informative value of your PDF headers and give your users a hint about the content and the intention of your e-mail.
Example: Let's say, you want to send all your invoices e-mails with an informative and user-friendly document name that contains the report type (in this case "invoice") and the invoice number. For this, you simply create the file name template "Your invoice [INVOICE NO]" for invoices. All invoice PDF's will now contain both order type and number.
You can create separate file name templates for all used languages in the system.
How to create standard file names for PDF's and e-mail attachments
- Go to View - Settings - Company - Settings per Module - Sales and Invoicing. Switch to the Printouts tab.
- Click the button with the three dots next to File names for PDF and e-mail attachments.
- Click New.
- Choose the Report type and the Language. The language on your customer's/supplier's contact card also determines the language of the file name.

Enter the File name. If you want to use flexible values, choose the place holders from the list below and click Insert.
Tip! Verify how a file name looks like in the example box below. If needed, adjust the File name until you are happy with the result.
- Click OK to save.
You have now created a standard file name template and will be redirected to the list with all existing file name templates. From this list you can also edit and delete existing templates.
You can now print and/or send your PDF's with the pre-defined file names.
