How to reconcile an account

  1. Select View - Accounting and Bank Reconciliation.

  2. Click New.

  3. Select the N/C you want to reconcile from the drop-down list.

  4. Enter the Closing balance in the field for this via Active Bank statement. The balance is located on the bank statement. The Date should be date for the closing balance. In the Reference field enter the reference located on the bank statement.

    The fields below
    Previous Bank statement are filled out with data from the system. The fields will be empty if you have not made any previous reconciliations, but journals with journal type Opening Balance (OB) will form the basis for the Closing Balance from the previous printout.

  5. To retrieve the various transactions that are not reconciled you click New in the lower half of the window. In the window that displays you can mark transactions one by one, as you reconcile with the account printout.

Note that you have some very useful functions in this window. As in most list windows you can click on the column headings to sort the list. You can click Select all or Select none. You can also print the reconciliation. If you click on the triangle next to the printer icon you can export the list to Microsoft Excel.

  1. Click OK when you have selected the items you want reconciled.

    If you are unable to reconcile all the items in this window you can click OK. The items that are reconciled will be saved and you can continue later with the other items.

Note! If you made a mistake you can delete the item by clicking Delete. You must then reconcile the item again.

  1. As you reconcile items, the items will be displayed in the list in the lower half of the window. When the Reconciled figure matches the Non-reconciled figure the reconciliation can be approved. Click on Approved to do this.

Your selected accounts have now been reconciled.
