1. Partially close accounts
Before you start using Mamut Validis it is important that you use the Partially close accounts feature found under View – Accounting to make sure you have opening balances for the years being analysed. If you do not have Opening Balances your results could be affected.
2. Upload your data
If you are a first time user of Mamut Validis, you will now need to upload your data.
Click Analyse
& Validate to begin the process of uploading your data.
If you are already a registered user, you should click Refresh once you have logged in to ensure your analysis is current.
3. Adjust accounts
If you wish to adjust how an account is being interpreted by Mamut Validis you will need to go to View – Accounting – Chart of accounts in Mamut Business Software and then select the Advanced tab. Here you will see a Mamut Validis setting with a drop-down selection. If you would like to change the way the account is being read by Mamut Validis just select the correct option from the drop-down menu and then click Save. The next time you Analyse & Validate your data, the changes will be visible in Mamut Validis.
4. Differences
It is possible that you can find differences in the reports generated in Mamut Business Software and in Mamut Validis. The reason for these discrepancies is the way entries are registered in the Journal Entry.
While bookings in Mamut Business Software are registered based on the period and on the accounting year, in Mamut Validis the same booking will be registered based on the date of the entry.
5. Reading the results
Mamut Validis presents results back to the user based on accounting and statistical analysis, these results may sometimes need the expertise of an accountant/bookkeeper to assess the situation and advise on the appropriate course of action. The integration with Mamut Online Desktop makes this interaction simple as it can be accessed securely over the internet meaning you are able to consult with your accountant/bookkeeper about the results remotely from any location.
The results should not be discussed with Mamut Support Centre unless you perceive an issue with the service.
The Functionality matrix
Which services you have access to within Mamut Online Desktop depends on your Mamut One Service Agreement.
Please take a moment to look at the functionality matrix before you use the product to ensure you are aware what is possible in your version. Express is a free version and as such is quite limited. Please do not call support to ask for information about potential issues with your accounts. Please either call your sales consultant to arrange for an upgrade to Standard to allow you to investigate the potential issues or call your accountant or bookkeeper to discuss the issues with them.
It is important to note that:
Mamut Validis never makes changes to your accounting data.
Nor does it make recommendations on how the data should be changed. (Mamut Support Centre will not do this either!)
It simply reports on what it identifies as potential anomalies.
Mamut Validis is an analysis tool - not a data correction tool.
In addition it is important to note that not all issues are actually errors or mistakes. Some of them will be perfectly allowable exceptions to normal practice that have been entered due to the situation but not because they are errors.
