The Menu Bar in Outlook
You will see a separate integration menu bar in Outlook, from which you can easily control the synchronisation with the program. The menu bar shows in the general Outlook window but not in component windows, e.g. for creating e-mails.
Clicking on the program icon opens Mamut.
New e-mail: From here you can search for contacts in the program's Contact register before creating an e-mail to these contacts.
Transfer: When you mark one or several elements in Outlook and click on the icon, a window opens with details on whether or not these elements can be synchronised. If the contact does not exist, you can easily create it from here so that the element can be transferred. You can also open the element and any attachments it may have, before you decide whether you want to transfer it or not.
Transfer all: Clicking on this icon will commence the transfer or all elements which match the criteria you have specified in the user settings for Outlook. A window then opens in which you can select the elements you want to transfer and remove/check their attachments before you agree to the transfer.
Open contact card: Highlight an e-mail in Outlook and click on the icon to open the contact card. This option will only be active if the e-mail has been synchronised with the program.
Open activity: Opens the activity that was created based on the synchronised element.
Synchronisation status: Clicking on this icon will open a window with synchronisation information for the selected element in Outlook. For example, if you have highlighted an e-mail and click on this icon, you will see whether the element has been synchronised or not, which contact is linked to the element and which activity was created as part of the synchronisation.
Settings: Opens the user settings for the Outlook integration. This is the same window as the one opening when going to the user settings for Outlook in the program.
Important points
System administrator: The e-mail settings are made at individual user level.
Recurring items: In Outlook, items in the calendar can be set to recur at certain intervals, so that they repeated in the calendar. Such items can only be synchronised as one element in the program, i.e. only the main occurrence will synchronise.
Multi-user: The functionality only supports integration with your own Outlook. It is not possible to create activities in the program that will be synchronised with the Outlook of other users.
Multi-contact: E-mails sent from Outlook to several contacts/contact persons that are registered in the program will only sychronise with the first of these contacts.
Several company databases: Outlook integration can only be applied to one company database. If you have several company databases you need to select which one you want to integrate with. However, you can change the target company database by turning the integration off where it is active and then turning it on in a different company database.
Deleting elements in Outlook: When you delete an element in Outlook, a message box will pop up asking you whether you also want to delete the corresponding activity in the program. This message will only show if you use the Delete function (the X icon in the Outlook toolbar). You should not delete the element 'directly' through command 'Shift + Enter', as this command removes the element permanently without it being possible to also delete the related element in the program.
