Journal Templates



In companies of a certain size there will usually be several similar journal entries entered with small variations. Journal templates allow you to enter the variable information and create one or more journals from the specified template. Typical examples are invoice repeating, and accrual accounting for rent or depreciation on investments.

The function is activated through the user settings and displays a separate drop-down list of available journal templates in the Journal entry module. You can also activate the Toolbar for journal templates that provides separate buttons in the Journal Entry window.

Creating a journal from a template

  1. Go to View - Accounting - Journal Entry.

  2. Create a new journal in the usual way, specifying a journal type, date and period for the journal.

  3. Select the Journal template you want from the Journal template drop-down list and press [ENTER].

  4. Select or enter the values required for the journal template.

  5. If you are going to enter several journals using the same template where they all have the same value (for example several Purchase invoices from one supplier), you can mark the Default checkbox. The value will then be suggested next time the journal template is used.

  6. Click OK.

One or more journals are now created with these values, depending on which journal template you have used.

You can also activate the special journal templates toolbar, which will display separate buttons in the journal entry window, either instead of or in addition to the drop-down menus. These buttons act as shortcuts to various journal templates. This will change the journal entry somewhat and many make use of this function for their most commonly used journals.
