How to Create a Remittance File



To remit your supplier payments electronically, you require a valid agreement with your bank. The payments will be transferred as a file to the bank.

The example below illustrates automatic remittance. You can also select Cheque Payment Forms/Internet payments as remittance format in step 2 below. Read more about manual remittance here.

How to generate electronic payment forms

  1. Select View - Accounting - Supplier ledger - Remittance.

  2. Select remittance format.
    If you select the format Cheque Payment Forms/Internet payments, no remittance file will be generated. Print the forms and send them to your bank.

  3. Choose one of the following selections:

    All
    : All invoices.
    All domestic
    : All invoices that will be remitted domestically.
    All International
    : All invoices that will be remitted internationally.
    Supplier
    : Select the supplier.

    Click Filter if you wish to make a more advanced selection.

  4. Click Next to view which items are suggested based on your selection. Any errors detected in the items are displayed in the Error column. You are able to edit the items by selecting the item and clicking Edit.

  5. Click Next if you are happy with the items that are suggested. A report preview of Payment proposals will be displayed. Click Previous to go back and make amendments in the selection. You can also remove markings on the account receivables that are suggested. The items you remove markings on will not be included in the remittance file this time around.

  6. After printing Payment proposals, you can select the directory where the remittance file will be saved, as well as a file name. Any URL of the online bank is retrieved from Remittance settings or can be entered manually.

  7. Click Next. If you entered the URL of the online bank and are connected to the Internet, you can transfer the file immediately. Alternatively, you can import the bank file. The file will then be saved in the archives and can be retrieved at a later stage.

  8. Click Complete to update the Supplier ledger.

All items in the selection will be marked as sent to remittance.

Invalid recipient address: If the program returns an error message regarding an invalid recipient address, you should attempt to re-enter the contact's Invoice address.

Remittance of part payments: You can make part payments for an item by overwriting the amount in the Balance column in the Remittance wizard. The part payment will not reduce the original items amount.

Note! When remitting international payments you must register information in the field The amount applies to the ledger item. This field can be accessed by clicking the Edit button in the remittance wizard, in the Supplier payments - remittance window. You can also edit ledger items via the views Ledger list, List of Customers, List of Suppliers and Aged Analysis in the ledger modules.
