Editing Reports


View - Settings - Reports - Report/Label Editor


When editing reports you can add the company's logo and expand, move or delete data fields in the report. You can edit the report by selecting the report in the Report module and by clicking Edit or you can select View - Settings - Reports and Report/label editor.

Reports are divided into several areas or fields. These fields can consist of one or more lines, or they can be completely blank. In these fields, frames have been set with codes for different types or groups of information to be included in the report.

You can change the position, size, etc. of these frames. You can also delete the whole frame. If you do this, the information that the frame represented will not be included on the printout.

Tip! You can backup (export) your reports so that any changes you may regret are able to be reset. The Report-/label editor has functions for export and import, which make a copy of the report setup. Read more about report -/label editor here.

Below you will find short descriptions of various actions:

Inserting a logo

  1. Click OLE in the report editor.

  2. Move the cursor over the report.
    The arrow will now have changed to a cross.

  3. Click and hold the mouse button where you want to have one of the logo's corners.

  4. Drag the mouse (whilst holding the mouse button down) to the area where you want to have the diagonally opposite corner.

  5. Release the mouse button.
    The Report Picture window now opens.

  6. Click Browse, and navigate your way to the directory in which the logo (picture file) is located.

  7. Select the file and click OK.

  8. Choose how the picture is to be fitted to the frame:
    Clip picture:
    cuts the picture so that it fits the frame.
    Scale picture, retain shape
    : Scale the picture, but retain its shape.
    Scale picture, fill the frame
    : Scale the picture, but fill the frame completely in all directions.   

The logo will show when printing the report you have edited if the default report area is set to Company database reports.    

Note! The picture is not 'glued' onto the report, it is only a reference to the logo file that lies there. This means that if you delete (or move) the logo file or the folder it is in, it will also disappear from the report. Thus you should save your logo file in a folder that does not risk being moved or deleted by accident.

Expanding fields

  1.  Click on the field you wish to expand.
    The frame around the field will reveal small black squares which you can drag.
     

  2. Click and hold down the mouse button and the square which is:
    On the side of the frame
    : to expand the frame to that side.
    In the corner
    : to expand the frame on two sides.

  3. Ensure that the settings are saved by selecting File/Save.

The field is now expanded.

Deleting fields

Before removing any fields, you should check what they are used for in the current report. It may, for example, be a good idea to have a previous invoice with you when editing that report.

  1. Click on the field you wish to delete.

  2. Press Delete on the keyboard.

The fields will then be removed from the report.  

Tip! If you would like to select several fields for deletion at once, hold down the Shift-key on your keyboard and click on the fields you want to select. Alternatively, you can place the cursor beside, but outside of the current fields, and then click the left mouse button while dragging the cursor over the fields you want to highlight.

Copying fields 

  1. Right-click on the field you wish to copy.

  2. Select Copy.

  3. Right-click where you want to paste the image.

  4. Select Paste.

The field is now copied and pasted to the specified location.

Moving fields 

You can use the report editor to move fields by dragging the field with the help of the mouse or by selecting a field and using the arrow buttons on the keyboard to move it to where you want it. The first method is suitable if you want to make a major adjustment, such as moving the logo from the centre to the top of the report. The second method is better if you only want to make a small adjustment. For example: if all the fields on an invoice were 1cm too high on the page, you could select the fields and use the arrow button to move them all down 1cm.

  1. Click on the field you wish to move:

  2. Move the field to where you want to place it with the mouse cursor or by using the arrow buttons on your keyboard.

The fields are now moved to the specified position.
