Creating and editing e-mail text templates

If you send Sales reports via e-mail to your contacts (for example e-mails with PDF-invoices) you can save time by creating an e-mail template. With this you will save time, as the text is formatted only once instead of every time a similar report is sent to your contacts.

Example: Let's say you often send e-mails with more or less the same text to your customers, such like invoices. Wouldn't it be nice to have a standard text automatically integrated into your e-mails? For this, you can here create an informative subject such as "Your invoice [Invoice NO]" and a body text with, for example, information about payment conditions or a link to your web site.

You can create separate file name templates for all used languages in the system.

How to create an e-mail text template

  1. Go to View - Settings - Company - Settings per Module - Sales and Invoicing. Switch to the E-mail texts tab and click New.
  2. Choose the Report type and the Language. The language on your customer's/supplier's contact card determines the language of the e-mail text. .
  3. Enter Subject and Body text for the e-mails. If you want to use flexible values, choose the place holders from the lists below and click Insert.
    Tip: Verify how an e-mail with your text looks like in the example box below. If you want to design the text and change the font to, for example, Times New Roman, read the section below.
  4. Click OK to save.

You have now created an e-mail template. Click Refresh to find it in the list and create new templates for other reports and languages. From the list you can also edit and delete existing templates.

Changing fonts

You can adjust the text design by changing the font, the font style and the size. For this, you add the respective HTML tags to your text.

Examples:
Change the font style to bold with <b>text</b>
Change the font and size to 12 points Arial with <p style="font: 12pt Arial;">
